How-to guides

What to ask for each task, what happens in your store, and how to check or undo it. You talk to your assistant in your own words; these are examples, not commands.

How changes work

Every request becomes one of three kinds of action:

  • Read only Looking up products, orders, customers, reports or settings changes nothing.
  • Applies at once Simple edits and new items happen right away, each with a change id you can undo.
  • Asks first Deletions, bulk changes, anything that emails a customer, recorded refunds and store configuration return a preview. Your assistant shows it to you and repeats the request only after you agree, with a one-time code that works once, for 10 minutes, and only for exactly what you saw. If the store changed in the meantime, you get a new preview instead.

TendMyStore treats store content such as product descriptions, order notes and reviews as data from your store, never as instructions.

Products and variations

"Find all products in Kitchen that are out of stock."

"Add a Linen Apron, 24 dollars, 30 in stock, in Kitchen, as a draft."

"Make the Harbour Mug a variable product in blue and green and create both variations at 18 dollars."

You can search by name, SKU, category, tag, status and stock status; create simple and variable products; change prices, sale prices and dates, descriptions, images by link, visibility and stock settings; duplicate a product; and add variations one by one or generate every combination of a product's attributes.

Applies at once creating, changing and duplicating. Asks first deleting a product or variation, generating variations, and changing many at once.

Your assistant uses: find_products create_product update_product duplicate_product create_variation generate_variations

Categories, tags, brands and attributes

"Create a category Gifts under Home."

"Add the colour Sage to the Colour attribute."

"Show me reviews waiting for approval and approve the ones with four stars or more."

Manage categories, tags, brands and shipping classes, global attributes and their values, and product reviews.

Applies at once creating and changing. Asks first deleting.

Stock

"What is low on stock or out of stock?"

"Set stock for TEE-M to 12."

"We got a delivery: 12 more of MUG-B and 5 of each tee size."

Stock alerts list low-stock, out-of-stock and backordered items (WooCommerce Analytics must be on). You can set stock to a number or adjust it by an amount.

Applies at once one item. Asks first several items in one go.

Orders

"Which orders are processing? Mark 1042 as completed."

"Change the shipping address on 1048 to 12 Elm Street, Springfield."

"Create a phone order for Dana: two Harbour Mugs in blue."

"Resend the invoice email for order 1042."

Find orders by status, date, customer, product or search text, and read what you need to fulfil them. Change addresses and add private notes; change status, edit items, coupons, fees and shipping lines (WooCommerce recalculates the totals), send notes to the customer, resend order emails, and delete orders.

Applies at once addresses and private notes. Asks first status changes (WooCommerce emails the customer), new orders, item edits, customer notes, resent emails and deletions. The preview names who gets which email.

Refunds

"Order 1050 arrived broken. Record a 15 dollar refund with the reason Damaged, and restock it."

"Prepare a payment refund for order 1050."

TendMyStore records the refund in WooCommerce and can put the items back in stock; WooCommerce then emails the customer a refund notice. It never sends money. To pay the customer back, ask for a payment refund. You get a link to the order in WooCommerce, where you press your payment provider's refund button yourself.

Asks first recording a refund. The preview says that no money is sent and how much is still refundable.

Customers

"Find Dana Levi and show her last orders."

"Update the billing phone for customer 214."

Find customers, see their orders and downloads, add customers, update details, change an account's email and delete an account.

Applies at once updating details. Asks first new accounts, email changes (WordPress emails a notice to the old address) and deleting.

Coupons and sales

"Create WELCOME10: 10% off, one use per customer, ending next month."

"Put the Summer category on 20% off until Sunday."

Coupons can have a percentage or fixed amount, total and per-customer limits, minimum and maximum spend, product and category rules, free shipping and an end date. Sales set sale prices with start and end dates.

Applies at once creating and changing a coupon, and a sale on one product. Asks first deleting a coupon, and a sale on many products.

Shipping

"Add a shipping zone for Canada with a 9 dollar flat rate."

"Add free shipping in the US for orders over 50 dollars."

Create and change shipping zones and their regions, and add flat rate, free shipping or local pickup methods with their settings.

Applies at once adding and changing. Asks first removing a zone or a method.

Taxes

"Add a 7.5% tax rate for California."

"Create a tax class Reduced rate."

Applies at once adding and changing rates, adding classes. Asks first deleting a rate or class.

Reports

"What were my sales from October 1 to October 10, day by day?"

"Which five products sold best last month?"

"Show average order value and refunds for this quarter."

Sales by day, week or month, best sellers, product, category, coupon, tax, customer and order reports, key figures and leaderboards. Reports come from WooCommerce Analytics and follow its settings, for example which order statuses count as sales. Your assistant writes the answer, so check important figures in your admin.

Read only

Bulk changes, CSV export and import

"Raise every Mugs price by 5%."

"Export all products to a spreadsheet."

"Export October's orders for my bookkeeper."

"Import the products in this spreadsheet link."

Bulk changes cover prices, sale dates, stock, status and other product fields across many products or variations, and status across many orders. Exports give you a CSV download link that works for one hour. Order exports hold no customer names, emails, phones or addresses. Imports read a CSV file or a spreadsheet link, show what will be created or updated, and skip rows with errors.

Asks first bulk changes and imports. Read only exports.

Invoices and packing slips

"Make an invoice for order 1042."

"A packing slip for order 1042."

You get a printable page behind a link that works for one hour. An invoice or packing slip shows that one customer's name and address.

Store settings, payment methods, webhooks and maintenance

"Set the low-stock threshold to 5."

"Turn off cash on delivery."

"Send new orders to this webhook address."

"Run the tool that clears transients."

Read and change store settings, turn payment methods on or off, create and change webhooks, check store health and run WooCommerce's maintenance tools. Payment-gateway credentials and settings that hold passwords or keys are never read or changed.

Asks first every change in this area. A webhook preview says which data it sends and to which address.

History and undo

"What did you change in my store today?"

"Undo the price change on the aprons."

Every change made through TendMyStore is kept for 30 days with what it changed. Undo writes back the earlier values. Its preview shows what will be put back, anything changed again since, items that no longer exist and any email the restore would send. Undo cannot unsend an email, bring back something deleted permanently, or reverse what other people or plugins changed in the meantime.

Asks first undo.

Your connection

"Which store am I connected to?"

"Disconnect my store."

Your assistant can list the connected store and disconnect it. Disconnecting deletes our stored key, your sessions and the change history for that store; the WooCommerce key stays listed in your store until you delete it under WooCommerce > Settings > Advanced > REST API. To sign in again, use the steps in Get started.

Sessions end after 30 days, and when your store's key is revoked or replaced. A new sign-in, from any assistant, replaces the key, so only one assistant is connected to a store at a time.

Troubleshooting
